Data Protection Statement

The Colorado Pilots Association is a 501(c)(4) volunteer nonprofit dedicated to serving Colorado’s aviation community. We believe in being straightforward about what information we collect, how we use it, and how you can control it. This statement explains our approach to protecting your data.

What We Collect

When you create an account or join CPA, we may collect the following:

  • Account information β€” Name, email address, phone number, and mailing address
  • Pilot information β€” Certificates, ratings, home airport, and aircraft (optional, for the member directory)
  • Emergency contact information β€” Name, phone number, and relationship of your designated emergency contact
  • Membership and payment history β€” Membership type, renewal dates, and transaction records (CPA never has access to your credit card number)
  • Volunteer interests β€” Committee participation and volunteer preferences
  • Directory preferences β€” Your choices about what information is visible to other members
  • Website usage data β€” Anonymized, aggregate analytics about how the site is used (not tied to individual accounts)

How We Use Your Data

  • Membership services β€” Provide access to member-only features, the member directory, and your account dashboard
  • Payment processing β€” Process membership dues and renewals through Stripe
  • Communications β€” Send relevant updates including the Flight Lines newsletter, event announcements, and advocacy alerts
  • Member directory β€” Display your information to other members based on the visibility preferences you set
  • Aggregate reporting β€” Report membership statistics in aggregate form (for example, total membership count for advocacy purposes). Individual data is never shared.
  • Emergency contacts β€” Your emergency contact information is available only to authorized event coordinators during fly-in events

Your Privacy Controls

You have control over how your information is used:

  • Directory visibility β€” Choose exactly which fields other members can see in the directory: name, email, phone, city/state, home airport, certificates, and aircraft. You control each field individually from your Membership Visibility settings.
  • Email preferences β€” Opt in or out of club communications at any time from your account settings
  • Airport alerts β€” Manage your own airport watchlist subscriptions
  • Data export or deletion β€” You may request a copy of your data or ask to have your account deleted at any time by contacting the webmaster

Data Sharing

CPA does not sell, rent, or share member data with third parties for marketing or any other purpose.

  • Payment data β€” Handled exclusively by Stripe. CPA never stores or has access to your credit card number.
  • Printed directory β€” The printed membership directory contains only information that members have explicitly opted to share via their privacy settings, and is distributed exclusively to active CPA members.
  • Emergency contacts β€” Shared only with authorized event coordinators during fly-in events, and only when needed.
  • Aggregate statistics β€” Non-identifying, aggregate statistics (such as total membership counts) may be shared for advocacy purposes.

Data Retention

  • Active members β€” Your data is retained for as long as your membership is active.
  • Expired members β€” Data for expired memberships is retained for up to two years to make it easy to re-join without re-entering everything.
  • Deletion requests β€” Members who request deletion have their personal data permanently removed from our systems.
  • Payment records β€” Transaction records are retained as required by IRS regulations for nonprofit organizations.

Data Security

We use multiple layers of security to protect your information, including SSL encryption, firewall protection, regular security scans, and daily backups. For full details, see our Security Statement.

Children’s Privacy

CPA does not knowingly collect personal information from children under 13. If you believe a child has created an account, please contact us so we can remove it.

Changes to This Statement

CPA may update this statement from time to time. If we make significant changes, we will notify members through our regular communication channels.
